Licensed Veterinary Technician (Full Time or Part Time)

Veterinary Receptionist
This role exists to support consistency in client communication, foster positive team dynamics, and uphold a professional, team‑first culture while ensuring an excellent experience for every client and patient who enters the hospital.

Veterinary Receptionists are the first point of contact for clients and play a key role in shaping the overall experience at the hospital. This position requires strong communication skills, attention to detail, and the ability to multitask in a fast paced clinical environment. Receptionists support both clients and the medical team by managing scheduling, client communication, and administrative tasks with accuracy and compassion.

Key Responsibilities:

Client Communication & Service:

  • Greet clients warmly and create a welcoming, professional atmosphere
  • Answer phones, respond to emails and text messages, and manage multi‑line communication systems
  • Schedule appointments, surgeries, and follow‑up visits with accuracy
  • Provide clear information regarding hospital policies, services, and procedures
  • Assist clients with check‑in and check‑out processes
  • Handle sensitive or emotional client interactions with empathy and professionalism

Administrative & Front Desk Operations:

  • Maintain accurate and up‑to‑date client and patient records
  • Process payments, invoices, and estimates
  • Manage prescription refill requests and relay messages to the medical team
  • Coordinate patient flow by communicating with technicians and assistants
  • Monitor lobby activity and ensure a clean, organized reception area
  • Follow protocols for medical records, confidentiality, and client communication

Support for the Medical Team:

  • Relay client concerns and patient updates to the appropriate staff

Veterinary Assistant
This role supports the daily operations of the clinic. Team members in this position contribute to a positive, compassionate, and efficient clinic environment while upholding the hospital’s standards for patient care, client service, and teamwork. Veterinary Assistants work under the guidance of the Lead Veterinary Assistant, who provides direction on daily workflow, task prioritization, and delegation to ensure efficiency and consistency across the hospital.

Key Responsibilities:

Patient Care:

  • Feeding, watering, and monitoring patients
  • Administering basic husbandry tasks (cleaning, bedding changes, comfort care)
  • Walking dogs, cleaning litter boxes, and maintaining species‑appropriate housing
  • Monitoring appetite, eliminations, behavior, and reporting changes to medical staff

Medical Support:

  • Assisting veterinarians and technicians during exams
  • Safe and effective animal restraint
  • Preparing vaccines, drawing up medications under supervision
  • Holding for blood draws, nail trims, ear cleanings, and other treatments
  • Collecting fecal/urine samples when appropriate
  • Setting up diagnostic tests (fecals, SNAP tests, UA dipsticks, etc.)
  • Recording patient vitals (TPR) when trained

Sanitation & Clinic Maintenance:

  • Cleaning and disinfecting kennels, exam rooms, and treatment areas
  • Laundering towels, blankets, and surgical packs
  • Maintaining cleanliness of common areas and equipment
  • Following infection‑control protocols and biohazard handling procedures

Inventory & Equipment Support:

  • Restocking exam rooms, treatment areas, and pharmacy
  • Cleaning and maintaining equipment (clippers, otoscopes, scales, etc.)
  • Assisting with unpacking and organizing supply orders

Client Service & Communication:

  • Assisting reception during busy periods
  • Escorting clients to exam rooms and obtaining brief histories
  • Providing updates on hospitalized patients (as directed by DVM)
  • Educating clients on basic care instructions (parasite prevention, nutrition, vaccine recommendations)
  • Maintaining a calm, professional demeanor during stressful client interactions

Administrative & Workflow Support:

  • Preparing exam rooms between appointments
  • Updating patient records with weights, notes, and observations
  • Coordinating under the direction of the Lead Veterinary Assistant to ensure a smooth clinic flow during high‑volume periods
  • Supporting drop‑off appointments and discharge processes/policies

In addition to core Veterinary Receptionist’s duties, this role exists to support consistency in client communication, strengthen team coordination, and uphold a professional, team first culture while ensuring an exceptional experience for every client and patient. The Lead Veterinary Receptionist provides advanced administrative support, oversees front desk workflow, and maintains key systems that drive client compliance, revenue integrity, and hospital efficiency.

Key Responsibilities:

Client Communication & Service Leadership:

  • Model and reinforce warm, professional communication standards
  • Support reception staff in handling sensitive or escalated client interactions
  • Ensure consistent messaging regarding hospital policies, services, and procedures
  • Maintain a welcoming, organized, and efficient lobby environment

Advanced Administrative & Front Desk Operations:

  • Oversee daily reception workflow and assist with task delegation working closely with Lead Veterinary Assistant & Leadership.
  • Train new reception staff on protocols, communication standards, and software systems
  • Maintain accuracy and consistency in client and patient records
  • Monitor appointment schedules for efficiency, accuracy, and appropriate booking

Reminder System & Compliance Management:

  • Manage the hospital’s patient reminder system, ensuring accuracy and timely delivery
  • Audit reminder queues for overdue services, missed communications, and client follow‑ups
  • Identify gaps in compliance (vaccines, preventatives, wellness care) and initiate outreach
  • Maintain templates, messaging, and workflows for reminder communications

Revenue Integrity & Lost Opportunity Recovery:

  • Review appointment reports, missed appointment logs, and incomplete medical recommendations
  • Identify and initiate follow‑up for lost revenue opportunities (missed vaccines, overdue exams, declined services, etc.)
  • Track communication attempts and outcomes to support hospital compliance goals
  • Collaborate with leadership to refine processes that reduce missed revenue and improve client retention

Support for the Medical Team:

  • Communicate real‑time updates on patient flow, urgent needs, and schedule changes
  • Coordinate drop‑offs, pick‑ups, and client updates to maintain smooth clinic operations
  • Assist with chart preparation, record updates, and daily schedule organization
